Cafe Music School Policies

Lessons

Students attend lessons once a week for 30.45, or 60 minutes during the months of September through June. Summer lessons are available July and August on a different schedule and you must register seperately for the Summer Session. Due to scheduling demands, make-up lessons may or may not be available, this will be up to the instructor and Cafe Music School, except in the case of a teacher illness or bad weather where we will reschedule or have a substitute instructor available.

When registering you are agreeing to reserving and paying for your scheduled day and time, you are agreeing to attending lessons from September to June (Fall Session) OR July and August (Summer Session) (if you choose not to terminate lessons with notice) as this is most beneficial to the student, and you are agreeing to giving adequate notice to either cancel lessons or terminate lessons permanently.

Payment of Fees

All private lesson fees are paid monthly on the first lesson of each month, in advance for the month. Refunds will not be issued for missed lessons, only credits for those given with 24 hours notice of lesson time or make-up lessons if they are available.

*Payment plans for other programs can vary including but not limited to: Musical Theatre, Ensembles and Groups, Dance Classes, Munchkin Music Classes, Summer Camps, etc. Please see seperate forms for these policies.

There are no registration fees for private lessons.

Credit Card information will be given in order to reserve my spot OR I will pay for the first and last month of lessons. If I reserve a day and time for a lesson over the phone or by email, I must either give my credit card information, come in to pay for the month of lessons prior to the first lesson, or (if the lesson is within the same week) I can pay the same day as my first lesson for the month of lessons.

If I do not show up for this scheduled lesson I am forfeiting that day and time immediately and will owe for that one lesson on my account.

A late fee of $10.00 will be applied to your account if lesson payment has not been made withint 30 days of the due date.If payment has not been received within 60 days you will be charged for two late fee payments, your account will be suspended, and your time and day for lessons can be given to someone else and forfeited.

Cafe Music School reserves the right to charge any outstanding balances to the credit card provided. Failure to obtain sufficient funds available on this credit card or not paying the outstanding amount could result in legal action.

Termination of Lessons

Lessons are given on a time/date scheduling policy. Students whose balances are not paid in full after the 30th day will automatically be charged a late fee of $10.00, after the 60th day of the due date the account will be suspended, the account holder will forfeit their reserved timeslot, late charges will be applied, and lessons will be terminated.

Cafe Music School requires 4 weeks notice (verbal or written) to terminate lessons, whether you choose to attend those lessons or not, failure to pay for this notice will result in payment plus late fees.

If you choose to give your four week notice to terminate lessons you cannot cancel these last four lessons, if you are not able to make one or more of these last scheduled lessons Cafe Music School can attempt to schedule a makeup lesson, IF possible with the schedule, teacher and timeframe, if this is not possible you are required to pay for these lessons regardless of cancellation notice.

In the event that a student has not shown up for their reserved time slot for two consecutive weeks and no contact has been made by the account holder, Cafe Music School reserves the right to apply the one month termination notice (after the two missed lessons), and all normal lesson charges will apply. It is the account holder's responsibility to contact Cafe Music to attend to final month of lessons. If contact is not made by the first lesson of the final month the account holder forfeits their reserved spot for the final month.

Recitals/Performances

Cafe Music School performs two recitals per school year, the first in December prior to the Christmas Break, and the second in June prior to the Summer Session. These recitals, although not mandatory are highly recommended for all students as this encourages students to work towards a goal, it is proven that students progress at a faster rate when given a goal, they have fun working on a song/piece of music that they enjoy, the more a student performs, the more they become comfortable with performing in front of others and building self-esteem.

Teachers will automatically work on favorite songs/pieces of music with students as we near the recitals so students are prepared for recitals. Teachers are responsible for signing students up for recitals. There is NO charge for attending these recitals, guests are all welcome, snacks and drinks available and donations are welcome towards The Heart and Soul Foundation.

 Musical Theatre Policies

When students register for Cafe Music School's Musical Theatre Program you are agreeing to the terms stated on the registration form and the Musical Theatre Contract that you will be required to read and sign prior to attending classes.

Fee Payments

Fees are either paid in full at time of registration OR before the first class and this fee includes all registration costs and material costs for the session (no taxes are added). A monthly payment plan can be arranged with post-dated cheques, debit, cash or automatic credit card withdrawals only if a credit card number is given at the time of registration.

If a class is full, you may choose to be placed on a wait list. If a space becomes available, students will be called in the order in which they appear on the wait list. Should you be contacted to fill an available spot, you will be given 24 hours to register, after which the space will be offered to the next person on the wait list.

Terminating the Program/Cancelling  Classes

Registrants may cancel prior to the first class with no fees being charged, after the first day of classes from September 1st to December 31st, registrants may drop the class with four week's notice of the next class and no other charges will be added to your account. If 30 days notice is not given you will be charged for the next missed class and charged for 4 weeks of classes, if you do not inform us that you have dropped the class, this payment will be taken off of your credit card. After December 31st you are  committing to the remaining classes in this session, this policy is necessary to make it fair for students registered and not having the class cancelled, as well as having students memorize lines, scripts and have specific parts given to them in the final performance. If you chose to not continue after December 31st you will be charged for the remainer classes unless you can show proof of an emergency.

If you/your child cannot attend a class due to illness or any other scheduling conflict, we appreciate you calling us in order to let the instructor know so she can plan accordingly, however, no refunds or credits are given for missed classes.

Refund Policy

NO refunds are given for classes unless a class is cancelled due to the instructor needing to cancel and no substitute is available, or an act of God (ex: weather). If refunds are necessary for special circumstances we will give credits on your account to be used for any programs offered at Cafe Music School.

Munchkin Music Policies

When students register for Cafe Music School's Munchkin Music Program you are agreeing to the terms stated on the registration form and the Munhckin Music Contract that you will be required to read and sign prior to attending classes.

Fee Payments

Fees are either paid in full at time of registration OR before the first class and this fee includes all registration costs and material costs for the session (no taxes are added). There is a Music Kit available to all students at a fee of $30 (no taxes), this music kit includes instruments that will be used in each class (as well as a music bag) and allows for the student to play at home, although it is not required, we do recommend it. A monthly payment plan can be arranged with post-dated cheques, debit, cash or automatic credit card withdrawals only if a credit card number is given at the time of registration.

Should you be contacted to fill an available spot, you will be given 24 hours to register, after which the space will be offered to the next person on the wait list.

Terminating the Program/Cancelling Classes

Registrants may cancel prior to the first  class with no fees being charged to your account, after the first class registrants have committed by contract and financially to the full session (Fall, Winter or Spring) of 12 classes (subject to change due to holidays, etc.) and cannot terminate classes. This policy is necessary to make sure there are enough students to run the program without having to cancel on registered students, and to prepare the children for a small performance at the end of the session.

If you/your child cannot attend a class due to illness or any other scheduling conflict, we appreciate you calling us in order to let the instructor know so she can plan accordingly, however, no refunds or credits are given for missed classes.

Refund Policies

NO refunds are given for classes unless a class is cancelled due to the instructor needing to cancel and no substitute is available, or an act of God (ex: weather). If refunds are necessary for special circumstances we will give credits on your account to be used for any programs offered at Cafe Music School.

Tiny Toes Dance Classes

When students register for Cafe Music School's Tiny Toes Dance Program you are agreeing to the terms stated on the registration form and the Tiny Toes Dance Classes Contract that you will be required to read and sign prior to attending classes.

Fee Payments

Fees are either paid in full at time of registration OR before the first class and this fee includes all registration costs and material costs for the session (no taxes are added). A monthly payment plan can be arranged with post-dated cheques, debit, cash or automatic credit card withdrawals only if a credit card number is given at the time of registration.

Cafe Music School offers two sessions (Fall and Winter) with 12 classes in each session (days and times vary each year, please see Tiny Toes Dance Classes info) and registrants are required to register for each session seperately, this also includes a recital at the end of the session.

If a class is full, you may choose to be placed on a wait list. If a space becomes available, students will be called in the order in which they appear on the wait list. Should you be contacted to fill an available spot, you will be given 24 hours to register, after which the space will be offerd to the next person on the wait list.

Terminating the Program/Cancelling  Classes

Registrants may cancel prior to the first class with no fees being charged, after the session begins registrants are committed by contract and financially to the remaining classes in the session. If you choose to not attend any remaining classes you will still be charged for those classes on your credit card account. If you/your child cannot attend a class due to illness or any other scheduling conflict, we appreciate you calling us in order to let the instructor know so she can plan accordingly, however, no refunds or credits are given for missed classes.
